Position Overview

Arnold Ventures is seeking a motivated individual to join the Administration team. This individual will perform a variety of administrative tasks and support our senior executives and team members as assigned. This role reports to the Director of Office Services with functional direction and tasking from supported executives.

The successful executive assistant is an energetic professional with a client service mindset who is able to work well in collaborative teams and as a solo practitioner. Providing first class administrative support to Arnold Ventures’ executives is the core goal of this position. The Executive Assistant will be based in our Washington, D.C. office.

Core Responsibilities

  • Provide first class client service to and on behalf of Arnold Ventures’ executives in support of the organization’s mission of maximizing opportunity and minimizing injustice
  • Manage executives’ calendars by setting up internal and external meetings, forecasting, and troubleshooting conflicts
  • Make travel arrangements including airfare, transportation, accommodation, and meal reservations
  • Prepare expense reports, gather and attach receipts, and work with Finance to troubleshoot expenses and report errors
  • Assist executives with tracking of regulatory compliance with regards to meetings and other events
  • Plan and coordinate events, which includes contract management, coordinating catering and any other contractors, audio/​visual needs, creating signage and name cards, greeting, and escorting guests, renting space, and cleanup 
  • Perform other general administrative duties such as managing conference room calendars, answering phones, filing, printing, and binding presentations, assisting with incoming and outgoing mail and deliveries
  • Maintain discretion and confidentiality
  • Ensure compliance with administrative policies and practices, physical and operational security and safety procedures
  • Support the Office Manager with new employee onboarding, inventory-related tasks for kitchen and office supplies, events, special projects, and teambuilding activities and initiatives, as needed

Required Qualifications

  • Minimum of 10 years of work experience as an administrative professional supporting multiple executives or similar role
  • Exceptional project management, time management, and organization skills
  • Excellent oral and written communication skills
  • Able to travel domestically from time to time to provide administrative and event support
  • Expert user level knowledge of Microsoft 365 applications including Outlook, Excel, PowerPoint and Word as well as modern workplace collaboration tools (e.g. Zoom, Slack, etc.)
  • Strong leadership, people management, and relationship-building skills
