Position Overview
Arnold Ventures is seeking a motivated individual to join the Administration team in its Washington, D.C. office. This individual will perform a variety of administrative tasks and support our senior executives and team members as assigned. This role reports to the Director of Administrative Operations.
Core Responsibilities
- Manage executives’ calendar by setting up internal and external meetings, forecasting, and troubleshooting conflicts
- Make travel arrangements including airfare, transportation, accommodation, and meal reservations
- Prepare expense reports, gather and attach receipts, and work with Finance to troubleshoot expenses and report errors
- Plan and coordinate events, which includes contract facilitation, coordinating catering and any other contractors, audio/visual needs, creating signage and name cards, greeting, and escorting guests, renting space, and cleanup
- Performing other general administrative duties such as managing conference room calendars, answering phones, filing, printing, and binding presentations, assisting with incoming and outgoing mail and deliveries
- Maintaining discretion and confidentiality
- Ensuring fidelity with administrative policies and practices, physical and operational security and safety procedures
- Supporting the Office Manager with new employee onboarding, inventory-related tasks for kitchen and office supplies, events, special projects, and teambuilding activities and initiatives, as needed
- Traveling to the Houston and New York offices to provide administrative and event support
Required Qualifications
- Minimum of 10 years of work experience as an administrative professional supporting multiple executives or similar role
- Exceptional project management, time management and organization skills
- Excellent verbal and written communication skills
- Mastery of MS Office 365 (Adobe Acrobat, Excel, PowerPoint, Word, etc.)
