Position Overview

Arnold Ventures is seeking a motivated individual to join the Administration team in its Washington, D.C. office. This individual will perform a variety of administrative tasks and support our senior executives and team members as assigned. This role reports to the Director of Administrative Operations.

Core Responsibilities

  • Manage executives’ calendar by setting up internal and external meetings, forecasting, and troubleshooting conflicts
  • Make travel arrangements including airfare, transportation, accommodation, and meal reservations
  • Prepare expense reports, gather and attach receipts, and work with Finance to troubleshoot expenses and report errors
  • Plan and coordinate events, which includes contract facilitation, coordinating catering and any other contractors, audio/​visual needs, creating signage and name cards, greeting, and escorting guests, renting space, and cleanup
  • Performing other general administrative duties such as managing conference room calendars, answering phones, filing, printing, and binding presentations, assisting with incoming and outgoing mail and deliveries
  • Maintaining discretion and confidentiality
  • Ensuring fidelity with administrative policies and practices, physical and operational security and safety procedures
  • Supporting the Office Manager with new employee onboarding, inventory-related tasks for kitchen and office supplies, events, special projects, and teambuilding activities and initiatives, as needed
  • Traveling to the Houston and New York offices to provide administrative and event support

Required Qualifications

  • Minimum of 10 years of work experience as an administrative professional supporting multiple executives or similar role 
  • Exceptional project management, time management and organization skills
  • Excellent verbal and written communication skills
  • Mastery of MS Office 365 (Adobe Acrobat, Excel, PowerPoint, Word, etc.)
